ROLE DESCRIPTION | |
The Customer Service & Administrative Officer is responsible for ensuring efficient front-line customer interactions while managing administrative tasks to support smooth office operations. This role involves handling customer inquiries, processing requests, maintaining records, and providing general administrative support to the organization. | |
JOB ROLES & RESPONSIBILITIES | |
Serve as the first point of contact for customers via phone, email, or in person. Address customer inquiries, complaints, and requests professionally and efficiently. Maintain a high level of customer satisfaction by providing timely responses and solutions. Manage customer records and update databases with relevant information. Coordinate with internal departments to resolve customer issues. Handle correspondence, document management, and filing systems for easy retrieval and record-keeping. Maintain and organize office supplies and inventory Assist in organizing meetings, conferences, and training sessions, including preparing necessary materials. Liaise with vendors, service providers, and regulatory agencies to ensure compliance and operational efficiency. Assist in procurement processes by obtaining quotes, preparing purchase requests, and maintaining vendor relationships. Coordinate travel arrangements, accommodation, and logistics for staff as required. Maintain confidentiality and ensure adherence to company policies and regulatory guidelines. Other necessary administrative tasks as may be required to ensure smooth office operations. | |
CAPABILITIES | |
Strong organizational, multitasking, and time management skills. Excellent written, verbal communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to work independently and handle multiple tasks efficiently. High level of integrity, professionalism, and attention to detail. QUALIFICATION Bachelor’s degree or equivalent in Business Administration, Customer Service, or a related field. Minimum of 2 years of experience in Customer Service and Administrative roles, preferably in the financial or capital markets sector. |
