ROLE DESCRIPTION
The Administrative Officer is responsible for managing day-to-day office operations, ensuring the smooth running of administrative functions, and providing essential support to the management and staff of the company. This role includes handling office logistics, coordinating schedules, managing correspondence, maintaining records, and ensuring compliance with corporate policies. The ideal candidate must be highly organized, detail-oriented, and possess strong communication and multitasking skills.
JOB ROLES & RESPONSIBILITIES
Oversee general office operations, ensuring a well-organized and efficient work environment.

Manage office supplies, equipment, and facility maintenance to ensure seamless operations.

Handle vendor onboarding engagement and selection, ensuring necessary documentation and filing of same for ease of retrieval.

Carry out market survey, cost benefit analysis, trend and data analysis for recommendations to management and to help management in decision making.

Handle correspondence, document management, and filing systems for easy retrieval and record-keeping. Assist in organizing meetings, conferences, and training sessions, including preparing necessary materials.

Support HR functions such as employee onboarding, attendance tracking, and records management.

Liaise with vendors, service providers, and regulatory agencies to ensure compliance and operational efficiency.

Ensure proper documentation and archiving of legal, financial, and regulatory documents.

Assist in procurement processes by obtaining quotes, preparing purchase requests, and maintaining vendor relationships.

Coordinate travel arrangements, accommodation, and logistics for staff as required.

Maintain confidentiality and ensure adherence to company policies and regulatory guidelines.
  CAPABILITIES
Strong organizational, multitasking, and time management skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Knowledge of regulatory requirements in the Nigerian Capital Market is an added advantage. Ability to work independently and handle multiple tasks efficiently. High level of integrity, professionalism, and attention to detail.  

QUALIFICATION

Bachelor’s degree in Business Administration, Office Management, or a related field. Minimum of 5 years of experience in administrative roles, preferably in the financial or capital markets sector.
